Position Overview:

The Student Ministries Logistics Coordinator (SMLC) at Neighborhood Ministries creates conditions for human flourishing and spiritual development for children and young adults, ranging in age from 5 to 24 years old. Whereas the Student Ministries Programming Coordinator focuses on programming for children 5 to13, the SMLC focuses on ages 14 to 24, transitioning these young people into leaders who are equipped to run these self-same programs and who are active participants in civic engagement in the local community. The SMLC role offers pastoral, relational, organizational, and logistical oversight of all K–12th grade and young adult initiatives, including strategic leadership for the department’s operational, budgeting, scheduling, data, and transportation systems.   

With a strong program presence among older youth (ages 14–24), the SMLC serves as the primary pastoral lead for the Wednesday Night Youth Program and mentors the young adult volunteers who lead during Monday Night Children’s Programming.

The SMLC oversees logistics management for student ministry programs, including Kids Life, Kids Club, Kids Camp, the Wednesday Night Youth Program, the Summer Internship, and Work Crew (including seasonal events like the Christmas Fiesta and back-to-school “Shoe Day”).   

In conjunction with the Student Ministries Programming Coordinator and the Student Ministries Assistant(s), the SMLC ensures smooth program execution through relational connection, consistent communication, volunteer integration, and outcomes-based decision making.   

Principal Duties and Responsibilities:   

• Program Management: Serve as a point person for overall youth and children’s programming operations, managing budgets, data, and team-wide alignment across the department.  
• Onsite Lead for Wednesday Night Youth: Provide spiritual and logistical leadership during Wednesday night programming for youth (ages 14–24).  
• Young Adult Volunteer Supervision: Mentor and guide youth and young adults serving as volunteers during Monday Night K–7th programming.  
• Volunteer Recruitment and Training: Oversee recruitment strategies to build a strong volunteer network. Oversee comprehensive training for all youth and volunteers, focusing on trauma-informed care, leadership development, and curriculum alignment.   
• Program Coordination: Provide leadership of the children and youth team to accomplish all registration, transportation, schedules, and volunteer placement for department programming.  
• Summer Internship Program Management: Oversee the 10-week summer internship program, including recruitment, applications, funding, training schedules, Work Crew recruitment, management, and Kids Camp leadership.  
• Supply and Facility Logistics: Lead activity planning, inventory management, and space preparation for programs across the department.  
• Outcome Tracking & Reporting: Manage data systems (specifically, our Salesforce system) and track impact metrics to support grants, program effectiveness, and volunteer participation. All data management and reporting must be oriented to keep programmatic intervention approaches as relational as possible.  
• Supervision: Work with the Student Ministries Programming Coordinator to provide shared leadership of the Student Ministries Assistant(s) and Summer Interns in the summer.  

Collaborative Responsibilities:   

• Work closely with the Student Ministries Programming Coordinator to ensure high-quality K–7th programming for Monday Nights, Kids Club, and Kids Camp.  
• Collaborate across staff teams on trauma-informed practices, grant alignment, safety management, and referring students and families between programs.   
• Partner with Development staff for reporting related to Substance Misuse Prevention and Valley of the Sun/United Way grants.  

Qualifications:   

• Bachelor's degree or equivalent experience; seminary education a plus.  
• Significant experience in program management, youth ministry, and trauma-informed care.  
• Demonstrated ability to lead diverse teams and work cross-culturally, especially with Latino, African American, and First Nations youth.  
• Strong skills in project management, data tracking, and team supervision.  
• Must be able to obtain and maintain a valid driver’s license and Arizona Level One Fingerprint Clearance Card.  
• Proficiency in Microsoft Office and database software; Spanish language skills a plus.  
• Flexibility to work evenings (Monday and Wednesday Nights) and summer camp hours.  
• Experience with Salesforce or other customer relationship management platforms.

Job Summary:   

The Grants Coordinator leads the compliance team and coordinates the pre-award planning, organization, and preparation, as well as the post-award administration of various grants assigned to the ORR Program. This position monitors and interacts with investigators and administrative staff to ensure that grants are in compliance with the regulatory, funding agency, and policy requirements. The Grants Coordinator serves as the primary grant editor, engages in compliance reporting, and supports special project initiatives. This position requires strong writing, data analysis, communication, and project management skills, with an emphasis on outcome measurement.

Essential Functions:

• Coordinates the planning and preparation of grant proposals for one or more departments; provides guidance and assistance to Leadership team in the interpretation of funding agency regulations and requirements.
• Researching program development opportunities for licensing on a state and federal level
• Maintaining and building relationships with strategic partners on a local, state, and national level
• Advises and/or assists as appropriate in the design, formatting and preparation of grant documentation, Program Progress Reports to include creation of computerized statistical summaries and/or graphics.
• Drafting proposals, MOUs, grant application narratives, and collaborate to finalize with program staff, and the program d
• Maintaining library of grant support documents including resumes, state and organizational business forms, Board/staff diversity lists, etc.
• Support and oversight of the Compliance Department with grant compliance and reporting, including outcome measurement—taking responsibility for meeting high standards of effectiveness, timeliness, and
• Tracking progress toward organizational and programmatic outcomes and goals
• Assemble research statistics, trends and data for grant proposals and community advocacy. Develops and maintains a library of reference documentation, including such information as funding agency requirements and forms abstracts and reference literature, and other pertinent material.
• Assisting in development of presentations for various stakeholders
• Maintains knowledge of grant funding policies, regulations, and procedures; disseminates and/or presents changes to departments and advises on the implementation of changes, and on the impact of changes on funded operations.

Qualifications:

• Must have strong written and verbal communication skills in English.  Hiring preferences given to bilingual speakers of Spanish, French, Russian, Dari or Pashto. 
• Bachelor’s degree and/or 3+ of work experience with nonprofit administration, grant writing, or fundraising
• Required number of years working with children/ adolescents in a social service setting. Volunteer and internship experienced included: 1year

Job Summary:

The Case Manager Coordinator develops and oversees the daily operation of the Case Management Department within the Nueva Esperanza program. This department provides case management and social services to the children in our short-term care. Safety and child advocacy are our priorities.

Essential Functions:

• Collaboration to create and enforce program policies and procedures  
• Create department-level training to enhance professional growth in case management or supervision for employees   
• Daily supervision of employees, including developing and implementing employee coaching, feedback, performance improvement plans and/or disciplinary action of case management staff   
• Perform audits to ensure compliance with stakeholder guidelines   
• Oversee the timely review of the initial Individual Service Plan from the transfer department due within 21 days of each child’s arrival to our program and 30-day updates thereafter in compliance with all requirements   
• Perform weekly audits of 10% of the department’s active case files and maintain appropriate documentation to ensure compliance with stakeholder guidelines   
• Review all assessments, emails and any other documentation or assessments for accuracy of information while ensuring proper spelling and grammar is utilized prior to case manager submission to any stakeholder   
• Serve as the main point of contact for approving transfer placements and for requests for information in coordination with Assistant Program Director or designee   
• Maintain a daily updated list of the status for all cases to ensure that adequate progress   
• Facilitate attorney to client contact as requested by the children   
• Ensure that Case Management Significant Incident Reports are submitted within four hours upon notification of the incident and additional reports are submitted to DCS (Department of Child Safety), local authorities, and internal reporting mechanism as required   
• Create & seize opportunities to provide life-guidance at developmentally appropriate levels   
• Teach cultural & lifestyle changes as necessary for English-language and American-cultural learners   
• Maintain proactive awareness of child’s medical, legal, and educational/work readiness documents and plans   
• Documentation of all services within El Camino data system   
• Provide support and practice for all employees to implement the principles of a trauma-informed approach    
• Remain in compliance with all program and stakeholder directives, policies, and guidelines    
• Conduct and report weekly audits to ensure compliance with government and program guidelines    
• Complete and submit necessary reporting, IE. program related, ORR requirements, Significant incident Reports, etc.    
• Attend all required training sessions, as well as partner with HR for staff training compliance    
• Remain an active learner and adaptable to the work environment
